A must for all tutoring businesses

Comentarios: Life-changing. Seriously. Before this we were with Learnspeed and it was far less user-friendly and we were spending more.

It looks so professional to all our customers. All our tutors easily understand how to use it without nearly any training. Customers are very comfortable logging in and giving us their CC. Overall, just fantastic.

Contras:

Every once in awhile I'll come across a missing feature. I then need to create a personal bot for our company that makes up for it. For example, it lacks PayPal integration for paying our teachers/tutors.

I can't stress how pleased I am with the TutorCruncher system. We are a fairly new tutoring company and this tutor management system has allowed us to present our company in a very professional way. From the tutor profile listings on our website, email reminders, one-click links (LessonSpace) down to the Transfer Wise payment / Accounting system, we are very happy with how we were able to create and integrate the system and make it our own.

Contras:

There was a bit of a learning curve at first, but the videos help out a great deal. Batch scheduling can be super time-consuming. I wish there was a way to import an excel spreadsheet of client/student's name, date, and times especially if it's the same students and times for the entire school year. It would be great to offer the learning path, electronic assignments, and test because it would save us time and resources from having to go out of the TutorCruncher software for those necessary features.

Tutor Cruncher is a game changer.

Comentarios: I am impressed with Tutor Cruncher. It has many functionalities and I am sure I have not scratched the surface yet. We are delighted that we have moved to this new system. Thank you for all the help getting us up and running within our tight deadline.

No option to pull forecasting data.Stripe tale 7 working days to process payments + 2 days deferred payments - this has upset some tutors.I cannot schedule term time only lessons for the whole year.Development takes a long time but worth it.Support for tutors would be amazing.No break down on tutors pay as to which business paid which amount on payment notice.It would be great to have to option to adapt the templates before sending rather than editing the master each time. Our jobs vary a lot so it would be good to have that flex.

Spend time with customer service while you have the option, track the changes you make

Comentarios: Auto-invoicing is handy but we still don't know why the system doesn't invoice for sessions that happened. The system just ran an update that we weren't informed about it we had to start over getting to know it and make sure it was doing what we needed it to do. We are still having issues and trying to work out the bugs on our own. I wish we had better support in the beginning because I feel like I don't know the system well enough to trouble shoot.

Once automation is set up, clients enjoy getting regular updates and tutors enjoy having access to client information without having to contact us.

Contras:

Customer support needs to help us fix our specific issues within the system instead of giving generic options based on the User Guide. We still have things set up the way that we would like for them to be because getting answers from support took so long and they never went into our account specifically to assist us. Our support person ([SENSITIVE CONTENT HIDDEN]) quit responding to us and then [SENSITIVE CONTENT HIDDEN] (who is nice, but not as informed) tried to help and ended up causing more confusion and delays.

Comentarios: We have found the customer service team really helpful in enabling us to role out the use of Tutor Cruncher slowly as we were very nervous we could end up in a digital muddle.

I had been aware of Tutor Cruncher for over a year but thought it was expensive at first. Eventually, I found myself and my admin spending hours on tasks that were not bringing in any revenue and decided to look into it further. We took the plunge and have never looked back. Tutor Cruncher is literally saving us hours of administration time every month meaning that we can spend more time matching our clients and tutors together. The Client Pipeline feature is fantastic for tracking leads. We were losing leads before due to not having the time to do follow ups. We've also saved money in not having to have a separate mailing system to keep our clients up to date with new products and offers. If you were like us, wondering how it could make a difference, give the free one month trial a go before you get so busy chasing paper.

Contras:

I'd love to see an improvement on being able to create sub sets of files in the uploaded documents section.

Comentarios: TutorCruncher has been and still is a very good solution to my tutor management needs. My company relies on TC as a sign-up and login portal, making it super convenient and easy to professionally manage tutors and the tutoring itself, and appear professional too, all without doing much work!

It is easy to use and appears professional to most people, has lots of automaticity in-built you don't need to set up yourself.

Contras:

Overall the UX design is a little confusing and looks a bit outdated, and the support staff take a while to get back to you (but not that long, just not instant).

All in one management app for tutoring needs

Their CS is very helpful and very responsive when you first enrol to the platform and the team has helped us answer all the questions we have from transferring data and setting up invoices.

Contras:

There are still some lack of flexibility on certain functions such as invoicing but their CS are willing to take suggestions and hopefully these will be fix in the future.

Comentarios: The team at TutorCruncher are responsive and provide support in a variety of ways. Their knowledge base is really user friendly and the team members themselves have consistently made themselves available to provide specific support and respond to queries as we have made them. I very much appreciate the collaborative approach, particularly in relation to the development of new features and system improvements.

TutorCruncher has made a significant difference to our activity as a business - a range of functions that have really helped us to centralise information, run and provide analytics for a range of stakeholders and have robust records for delivery, client payments and tutor payments etc. Functionality such as the creation of enrolment forms that can be embedded onto our webpages has improved customer experience significantly.

Contras:

There are some nuances to the software that we didn't necessarily appreciate the value of in our initial set up phase, which we are now backtracking on! It would be great to have the 'availability' function track across all branches within the organisation so that branch managers can see the full picture of tutor availability. Similarly, it would be great if there could be a process of cloning/duplicating JOBS - this would be a major timesaver for the way that we use the system currently.

Tutoring software review

Comentarios: Overall experience is really good. The support team is always available and very responsive. And for the price, TutorCruncher is an amazing investment. All the other softwares that I found online were way more expensive, either charging based on the number of tutors, or wouldn't have all the functions needed. I found that TutorCruncher was the best because it had all the functions I was looking for being a tutoring company with booking, scheduling, tracking, and accounting all becoming automated. It is an amazing software for tutoring companies.

Puntos a favor:

The best part of TutorCruncher is the accounting. The automatic charging of clients through card payments, along with the auto generated invoice works really well. Clients only have to put in their card once, and after they are automatically charged by the system. The mass emails also is great because it eliminates tedious emails to clients that one would have to send manually, and keeps clients in the loop/up to date. The tracking of how much each tutor needs to be paid works really well so tutors can be paid at the end of the week/month, or whatever time frame.

Contras:

The integration was a little difficult, just making sure everyone adjusted to a new system with accounts and booking lessons. It was a big change. However, it is totally worth it because once you transition totally to TutorCruncher, it works really well on a large scale. There are some bugs in the software that can be annoying, but TutorCruncher's customer service is very helpful in resolving issues.

Tutorcruncher is definitely an improvement from our previous software for tracking employee hours.

It is very user friendly! My staff required very little training to learn how to use and implement it. Same with clients once they are sent the link to create their profile they are able to do it with ease as I haven't heard one complaint. Also, automatic package tracking is such a bonus with Tutorcruncher! I also appreciate that you can customize reports for sessions by targeting specific areas for feedback that our tutors and coaches fill out. This helps us increase our quality of service.

Contras:

When adding new appointments using the calendar, I wish you could double click on a day to then be prompted to create a new `lesson on the day clicked on. This would further increase efficiency when inputting schedules. It would also be great to be able to mark lessons complete with ease directly from the calendar page. Another thing is deleted appointments it would be great to more easily recover them than having to search through ALL previously deleted lessons; ideally I'd like to go to the job, see the deleted lesson, then click recover to bring the lesson back while I still have the job opened up. Last piece of feedback would be to create more filters (like searching jobs using a tutor filter).

How user friendly it is. There are so many options and categories available and they all make things so simple and easy, but are so user friendly to work with. Tutor Cruncher puts everything into place for you, so you just have to slot things in.

Contras:

Sometimes things go wrong and we have to wait while that issue is being sorted out. However, the team does sort things out very quickly.

Good base features, details need work

Comentarios: The software itself has a lot of promise, and the team is great. We're currently working with external solutions for some of the issues mentioned above and hope to see those features implemented in the future as well.

It's a straightforward piece of software in terms of what it does. It provides lesson planning and registration, integrated with an accounting section to manage the balance a student still has available.

Contras:

Some features are still missing which would be very valuable to have (iDEAL payments, multiple document upload, document search) and the design choices aren't always very clear (for instance, marking a task as 'completed' will bring you to a task list, instead of staying on whichever page you were working on). Therefore it can sometimes be a little tedious to work with, having to find solutions external to TutorCruncher, or clicking through pages multiple times in a row.

Comentarios: As a new user I am still in the process of onboarding our existing tutors and getting clients set up on the platform. I am hoping once the full setup is complete that the system will make the process of matching clients and students much more streamline.

A tutor specific CRM platform that understands the relationship interactions between clients, students and tutors. The blogs and guides are extremely helpful

Contras:

It would be very helpful to have an easy PDF guide for both tutors and new clients/students explaining to them how to use the software/the onboarding process. It isn't always easy to know what they can view and/or where to find certain information even in client view.

Tutorcruncher system is very quick and easy to learn

As someone who helps with running a tutoring company, tutorcruncher has helped us in many aspects of our company. From keeping track of enquiries and tutoring jobs to helping sort out payments with ease. It's very quick and easy to figure out the system, and great to use.

Contras:

A feature that would be helpful is perhaps an ability to integrate with Monday.com, and also to link an email to send information to when a client/tutor updates their profile.

TutorCruncher is an effective and useful website that has improved my company's effectiveness.

Comentarios: As previously mentioned, tutorcruncher streamlined my company's operation, as we became larger and harder to manage. Tutorcruncher solved significant software and administration issues.

The consolidation of information, and its ease of access are the main advantages of using tutorcruncher.

Contras:

Tutorcruncher can be occasionally difficult to use, with some unfortunate design flaws. One issue I had was with the labelling tutors option. Finding how to create a label caused me to apply this label to every tutor in the company, which took a long time to fix. Both the functions for creating, and removing labels en masse are frustrating to use.

The software is great but even better than that is the customer service provided by reps. They are always extremely helpful and pleasant to deal with.

The revenue snapshot could be more helpful (instead of comparing to previous 28 days would be more relevant to compare to the same period in the previous year).

Comentarios: We're very happy with Tutorcruncher, it helps us manage our volunteers and oversee our current processes.

Tutorcruncher is easy to use and highly customisable when it comes to the emails we send to tutors, the details we need them to fill out on their profiles etc. It also has some highly useful analytics.

Contras:

While there are some useful analytics, there are some which would be useful but are unable to be accessed. It also isn't always intuitive to use.

Sometimes frustrating, but with quick resolution

Comentarios: The use of pipeline has significantly smoothed out our client management, making fewer errors and more punctual processing of requests.

The fact that the developers are available to chat during work hours for customer support. The response time is so fast that any issues we've had with operating Tutorcruncher have been quickly resolved.

Contras:

The software is sometimes quite restrictive, meaning simple tasks can often take a long time with convoluted workarounds.

This website is good and well thought out and saves me a lot of time from calculating tutor's pay.

I do like how this website calculates the pay and hours for the tutors. It saves me a lot of time which allows me to focus more on other tasks.

Contras:

I dislike how the website keeps sending emails to my gmail when a job becomes "cold." I tried searching google and the tutorcruncher website on how to disable it, but can't find the solution. It is very annoying to have my gmail be flooded with these emails. I would like to see an option to disable this on tutorcruncher.

Really happy with how client, tutor, student and job details are readily accessible.

The fact that when you log in you can see clearly where you are up to with incomings and outgoings, client details are easily accessible so that you can see where they are up to with their accounts. You can add clients, students, tutors and jobs quickly and easily link them so that you have the whole picture and this means that you can access information instantly when someone contacts you with a query.

Contras:

I would like to be able to export data (such a client or tutor email addresses) so that I can send out group emails more easily - although I have this data on a spreadsheet now so this is not a real issue.

Positive elements: Booking, calendar, on-line payment, reminders, database of customers. Great customer service.

Contras:

It is sometimes not adapted to the needs of our business which operates as a centre. Specifically: - calendar should show cancelled sessions in red all the time - negative entries should be made possible on credit requests to adjust to a positive balance
