Security, Integration & Collaboration is top notch in M-Files

Comentarios: M-Files have good security features, & the integration is seamless along with collaboration. Once we get used to metadata-driven search, finding documents & the process for approval will be less time-consuming.

Puntos a favor:

M-Files has a variety of search criteria options Integration with our CRM & ERP is seamless. Collaboration through document sharing & also M-Files automates the approval process & task. These are my favorites about M-Files.

Contras:

M-Files mobile access doesn't have all the features like it has for the desktop. They should improve on that.

M-file all your needs for documents managemt

Comentarios: M file offers and support various core componemnts like documents control,process automation and enterprise level security which makes it more powerful and efficient. Its large customers based with fortune global 500 company makes it more famous.

Puntos a favor:

M file is one of the best documents management software which help corpoate to store and manage thire file and documents efficiently. Regardless of location and geo its provide seamless management service for users.its also used as electronics quality managemt systems.

Contras:

As you know there are multiple documents managemt application avalible in the market.i personally believe they sould more focus on features and seamless service towards the customers.

Expensive, bad documentation, no debugging capability and bad support from the vendor

Comentarios: We are a german company that uses M-Files for some years. I'm the poor guy that has to configure the backend/server side.
The basic functions are easy to setup, once installed, the server and client side runs well. The basic idea is easy to understand, documents belongs to classes ans has class-specific metadata attributes like "telephone number". Attributes can be linked to other objects... fine!
What makes me sleepless nights is, that if the implementation of a little bit more complex things like right structures, workflows with many steps e.g., you're totally lost with M-Files.
There are some different documentation pdfs, describing just the basic functionality - WITHOUT CLEAR EXAMPLES.
There's the possibility to submit tickets (if you have a support contract). This tickets are answered after some days by (asian?) supporters. There's a lot of mail-overhead just to desribe the problem. In most cases the supporters does not respond to the concrete problem. The do'n offer, for example, a short teamviewer session to solve the problem on the customers system. That's can not be calles good support!
M-Files provides the possibility to write own (visual basic) code, triggered by event handlers. This code can be written to a empty white editor (without any debug possibilities, or any kind of help to the programmer) on the server side. Notepad.exe provides more features! No Breapoints, no debug log output, the only way to debug own code is to rise exceptions that blows the script. That is 1983, not 2017! The API functions are not nice encapsulated, it's a nightmare to wirte own code...but required often - to customize and build workarounds for missing functionality.
Logging in general...not nice. There's a "event log" on the server side. Some basic events are logged here, for example login, logout, document checkout... But it's not very detailed! If somethin went wrong, it's not written there. Maaan!
The user frontend (windows client) looks nice and works well. The server side looks also nice on the first view, but many "nice" features are not implemented. Lists of 300+ Users... no search field, no possibility to select 5 people and delete them, you have to do tis one by one... I hope this (view from the administration part) gives you a small impression of the daily work. M-Files seems to spend a lot of money in marketing an nice small videos to bring the CEO to buy the product, but where are the videos describing the rights structure from the technical side? Nope!

- Expensive - Very bad support - Bad documentation - No usefull examples - Not self-explaining to the adminsitrator

A safety and privacy driven file transfer service.

Comentarios: It's great and smooth, as it should be. Feels good and safe with it.

Puntos a favor:

The interfere and accessibility at any place with data privacy

Contras:

Can't merge with any other cloud drive for data transfer.

Workflow automation

Comentarios: It maintains a more harmonious work among all users by being able to work more organized with updated information and without the stress of searching for physical documents for hours

The collaboration that can be had as a team is much more complete by being able to automate processes and have a more organized work management, with follow-up, better structured with more equitable work for all users and a more orderly management of documentation by being able to search for files quickly and save them safely in the cloud

Contras:

I would only like them to improve communication with customer service since sometimes they take a long time to respond to help tickets

Easier to work with files

Comentarios: It facilitates the work of searching for documents and the authorization to be able to share files with external agents of the company by setting an authorization time of which I want

The search function saves a lot of time finding specific files that we can also share with internal company users in a much easier and faster way. With M-Files, you can classify documentation to make it more efficient and organized with regulatory compliance

Contras:

There are no failures or bad functions, it has been a good work tool without bad conditions

M-Files: An Effective Document Management System That Lets You Perfect File Sharing

Comentarios: M-data allows us to streamline all of our data into one location hence saving us time from searching for missing records or handling tiresome paperwork and it also has the ability to quickly file and access records which helps me to assure quality control and adherence to ISO 9001.

Puntos a favor:

I can easily find and download information like invoices, purchase orders, and quality records using the strong search capability in M-Files. And since file classification and sharing are simple using the centralized folder in M-Files, it helps me to simplify document administration. Also having the ability to automatically send renewal reminders and classify certificates and evaluations depending on properties is really great.

Contras:

Based on my personal experience, opening folders or documents on cloud based M-Files usually takes too long due of the slow processing speed. Also the complicated authorization and file sharing system makes it difficult for me to maintain track of external user requests or overdue approvals.

ISO Optimized DMS Software

Puntos a favor:

With our company looking to become ISO certified, we knew that a proper DMS/QMS system would be required within our company. After multiple meetings, we decided on M-Files as it provided the easiest integration into our current system, and increased our security control for all documents within our company. We now have the ability to control change management, document approval process, SOP reviews, etc. efficiently and effectively

Contras:

It can be confusing at first with having to 'check out' a document from M-Files to review and/or edit. Once complete, you check it back in which will change the version number of the file. Once figured out, all of our documents are now properly maintained.

M-File is Fantastic

Comentarios: We have been using mfiles in our company for years now and it greatly simplifies processes through workflow and document cataloging and permission nesting and it is fantastic.

Efficient Document Management

Comentarios: M-Files is a helpful document management tool and is simplifying organising and accessing files. In my opinion, it boosts productivity by offering easy search and automation features, though it can have a steep learning curve.

Puntos a favor:

Easy file searching with tags and metadata. Automation for workflows and approvals. Strong integration with other tools like Microsoft Office. Secure document storage and sharing.

Contras:

Initial setup and learning can be complex. User interface could feel outdated. Performance slows with very large datasets. Requires strong internet for smooth usage.

High quality PDF maker

Puntos a favor:

PDF generation by converting other files into PDF is a good feature of M-Files. The final PDF result is truly of high quality.

Contras:

I didn't face even a ioata of problem while using this.

Getting to know it better

Comentarios: fine thus far, still learning and I'm looking forward to understanding it even much better to be able to use it.

It's comprehensiveness and usability response. It is very modern.

Contras:

It is a little bit complicated with not easy, how to add files and process files, the API documentation, is not easy to find, still looking for it even now.

The best and online data storage repository

Comentarios: The M-files tool is more costly. The pricing model must be modified; we're still hoping to secure more funding. What I don't like about the M-Files is how difficult it is to get used to the user interface: it must be improved. Anyone who needs to collaborate with others on documents and provide information should have M-files software on hand. M-files is an excellent tool for consolidating online storage, sharing, and retrieval of papers and digital content.

Puntos a favor:

The seamless interaction with Microsoft programs is the best-ever feature. This made incorporating the use of M-files into our office routine a breeze. A simple and intuitive graphical workflow designer is also my favorite which makes creating a workflow a little simpler. We were able to set up procedures for modification management and new data management with M-Files.

Contras:

We experienced some challenges with the rollout because we had to coach all of the customers, especially those who found it not so easy to use and clean at first.

One Place for All Document Types

Comentarios: M-files was a great tool to create one common space for us to store, share, and retrieve documents and digital assets online. Workflow are next, but we're still securing more funding given the new pricing model.

Puntos a favor:

Our office being limited with space has decided to keep tidy and lean by going digital. We tried M-files because it has good reviews, good recommendations from industry partners, and it has been receiving awards as well. So far, so good. After manual scanning, we upload our files into the M-files vault and everything is securely stored and easily accessible in one place. Searching for the file you need is easy because M-Files makes searching via metadata, and also not by location logic, but by what the document you're looking for is. Workflows is another reason we took M-Files in. We played around with it and it really is easy to create workflows via the graphical logic setup screen. Even the non-technical staff understands how the design works because it is pretty intuitive and straight-forward.

Contras:

M-Files has changed its delivery and pricing model. We have a perpetual license for 2018, but it turns out we need to upgrade into the subscription model for M-Files 2019 in order to continue receiving the updates, upgrades, and customer support. Since we have not yet upgraded, we are put on hold in terms of implementing our digital workflows. Now we're just waiting for the next budget season and release to upgrade.

Good For Data Storage But It Needs To Be Faster To Allow User Better Experience"

Comentarios: I have been using this software for 2 years.We were storing the working documets to another sharefolder. First feeling was there was no folder structer and user interface is not familliar as we were using before. But I would like to add using M-files Software has increased our storage capacity. It also helps data transmits when someone left the company.We have started to eliminate know-how lost in company .Addition to this I feel working with this softare may be time consumer.M-Files team needs to improve the infterface and needs to make the software more user friendly

I woudl say the most I like about the M-Files is ensuring security to the companies for working in bussiness.M files eliminating the data transfer and data leak to 3rd party companies which are not allowed to Access the data. Other think I like at it is integrated and working pretty fine with Microsoft Office softwares .It aslo makes our business efficiency great

Contras:

What I dislike about the M-Files is User interface quite diffuclt to get used .They need to impove as well. One other thing check in and check out to folder requires additional tasks and reminders to proceed with document.It decreases work efficiency dramaticaly

Secure cloud data storage needs to be user friendly

Comentarios: M-files is secure way to store documents. But the interface needs an improvement.

Puntos a favor:

Secure way to share and store files. You can share your documents with selected groups or company wide. you can track who has edited the file, also you can decide read and write access.

Contras:

Program should be more user friendly. You have to spend at least 2-3 minutes everytime when you want to upload a file. The security process is time consuming. You have to read couple of guidlines before start using.

Not a User-Friendly

Comentarios: In my company, due to confidentiality of our data, we use this software as a file/document/data sharing platform. It's not a user friendly program, there is no drag and drop option (currently) and it almost impossible to work with this software in a way that we work with windows., I mean the folder structure seems similar but it's not. Also, sometimes it gives some warnings/notifications but at the end of the process! For example, some file types are not allowed to upload in the database. Thus, if you try to upload one of those type of file, you will get an error but after a long uploading process, not at the beginning of the uploading process!
In total, I do not like to use this software.

Puntos a favor:

The only feature that I like about this software is that it's easy to access the database even from mobile phones.

Contras:

The user interface is not user friendly and it's extremely slow even for basic operations.

Good Document Management Solution for most businesses

Comentarios: Learned what we did and did not want in a Document/Content Management Solution. We are currently shopping around for a better option.

Puntos a favor:

User Interface is the same no matter the platform. The database residing in the cloud and off local servers is a huge plus, especially for off-site workers. But the structure and speed of the M-Files server is fantastic. Fully customizable to however you want to track your documents and tag your metadata. Tasks and Assignments were a huge plus. Plug-ins for Microsoft Office products all worked very well. Versioning of the documents was awesome. Working on documents locally and then saving incremental changes back to the server dramatically increased speed of working documents for us. (CAD drawings in particular)

Contras:

We had 3 things that prevented us from being able to implement and use M-Files to the full. 1. Does not work with Revit's Central Module! Almost all of our architecture projects are built in Revit and they all utilize the Central Module to be effective. M-Filee's inability to comply with this, made it unusable for us. 2. User Interface was difficult for implementation. Many in the office are used to and prefer the windows folder structure and found that our method of tagging metadata and the general UI experience to be too time-demanding and different from what they were used to. 3. When the files are saved on the m-files server they are not saved in their native format (.dpf .xls. doc) they are saved in M-Files format. M-Files has an export feature that supposedly should allow you to get the files back in their native format. We did not like that option we wanted a way to be able to look through the M-Files vault, distinguish which files are which and then be able to save them back in their original format.
